Elect Dermatology (“we,” “us,” “our”) operates the website electdermatology.com. This Privacy Policy explains what information we collect through the website, how we use it, and the choices you have.
1. Information We Collect
Information you submit voluntarily
When you fill out a contact form, appointment request, or subscribe to a mailing list on our site, you may provide your name, email address, phone number, and a description of the reason for your visit. Do not submit detailed protected health information through the website contact forms — call our office for anything sensitive.
Information collected automatically
When you visit the site, we and our analytics providers collect standard web-traffic information such as your IP address, browser type, device type, pages visited, time on site, and the referring website. We use Google Analytics 4 to understand how the site is used.
Cookies and similar technologies
We use cookies for basic site functionality and for analytics. You can disable cookies in your browser settings; some site features may not work as a result.
2. How We Use Information
- To respond to appointment requests and inquiries
- To operate, maintain, and improve the website
- To send appointment confirmations or follow-up communications you’ve requested
- To analyze site traffic and understand how visitors use the site
- To comply with legal obligations
We do not sell your personal information.
3. Sharing and Disclosure
We may share information in limited circumstances:
- Service providers: Companies that help us operate the site (hosting, analytics, email delivery, form submission). These providers are contractually required to protect your information.
- Legal requirements: When we’re required to do so by law, subpoena, or to protect the rights, safety, or property of our patients or our practice.
- Business transfers: In the event of a merger, acquisition, or sale of the practice, information may be transferred as part of that transaction.
4. Email Newsletter Subscription
If you choose to subscribe to our optional Skin Health Tips newsletter through a form on this website, the following terms apply specifically to that subscription, in addition to the general terms in this policy.
What we collect at signup
Your email address (required) and your first name (optional). We never ask for medical conditions, symptoms, treatments, prescriptions, insurance information, or any other health detail through the newsletter signup form. Please do not include such information in the form.
What we send
Educational content about general skin health, sun protection, and common dermatologic conditions. Approximately one to two emails per month. The newsletter is for general education only and is not medical advice and is not a substitute for an appointment.
Express consent + double opt-in
We require your active opt-in (by checking a consent box and submitting the form) and we use double opt-in: after you submit, you’ll receive a confirmation email and must click the link inside before being added to our list. Becoming a patient does not automatically subscribe you to the newsletter — patient status and subscriber status are kept separate.
Email service provider
Our newsletter is delivered through MailerLite, an email service provider that stores subscriber lists on their servers under a written agreement that limits their use of the data to operating our newsletter on our behalf. You can review their practices at mailerlite.com/legal/privacy-policy.
No protected health information in marketing emails
We do not include patient-specific health information, appointment details, or any other PHI in newsletter emails. Newsletter content is educational and is not subject to HIPAA’s restrictions on marketing communications.
Your rights as a subscriber
- Unsubscribe at any time using the link in the footer of every email we send. Unsubscribes are processed within 10 business days as required by CAN-SPAM, and typically within minutes.
- Update your name or email by replying to any newsletter email or contacting us.
- Request full deletion of your subscriber record by emailing info@electdermatology.com with the subject “Delete my subscriber record.”
Retention
We keep your subscriber record for as long as you remain subscribed. If you unsubscribe, we keep a minimal “do not contact” record so we don’t accidentally re-add you. Full deletion is available on request.
5. Security
We use commercially reasonable administrative, technical, and physical safeguards to protect information collected through the site. No method of online transmission is 100% secure, however, and we cannot guarantee absolute security. For communications involving protected health information, use our phone line or patient portal rather than the website forms.
6. Your Choices
You can request access to, correction of, or deletion of personal information you’ve submitted to us by calling our office at (833) 353-2875 or emailing our privacy contact. You can opt out of analytics cookies through your browser settings.
7. Children’s Privacy
We do not knowingly collect personal information from children under 13 through the website. If you believe we have inadvertently collected such information, please contact us so we can delete it.
8. Third-Party Links
The site may link to external sites (for example, health-information resources or our social media profiles). We are not responsible for the privacy practices of those sites.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Revisions will be posted to this page with an updated “Last Updated” date.
